Virtual Assistant Skills: What Employers Ask For
Clients rarely hire a "general" assistant. They hire someone who can run one part of their business with the tools they already use. Here are the skills that matter, the tools that show up most in real job posts, and how to learn them.
Core skills every VA needs
These don't depend on your lane. Interviewers test for them in every role, often without saying so.
- Clear written English. Most of your work happens in writing: emails, chat, notes, reports. Short, correct and friendly beats long and formal.
- Reliability. Showing up on time, every day, at the client's hours. It's the reason clients keep VAs for years.
- Organization. Keeping track of many small tasks without being reminded. A simple to-do system and an end-of-day report go a long way.
- Asking good questions. Clarifying a task before you start, instead of guessing, saves everyone time.
- Tech comfort. Learning a new tool from its help pages without hand-holding.
- Discretion. You'll see private emails, customer data and passwords. Clients need to trust you with them.
The tools employers ask for
We counted which tools are named in 492 VA job posts published by VA MASTERS since May 2025. It's one employer's data, so treat it as a strong hint, not the whole market.
VA MASTERS owns this site. The counts come from its public job posts on vamasters.com.
Number of job posts that name each tool, out of 492. Counted October 25, 2026.
Learn the top three tools for your lane well rather than ten tools a little. "I set up a sales pipeline in GoHighLevel" is worth more in an interview than a long list of logos.

How to learn without paying for a course
- Pick one lane. Use the table above, and start from what you've done before.
- Open free accounts. Most of these tools have a free plan or a free trial. Learn inside the real tool, not from slides.
- Use the official tutorials. Every tool's own help center explains its features step by step, and it's always up to date.
- Do a fake job. Invent a small business and do its work: a week of posts, a cleaned-up lead list, a booked-calls tracker, a reconciled sample month.
- Save it as a sample. Screenshots and a two-line description. That's your portfolio (our application guide shows how to present it).
Paid courses can help some people stay on track, but you never need one to get hired, and no real employer will make you buy one.
